Timelines


Timelines allow you to schedule tasks on individual jobs and assign due dates, employees, and teams, as well as make notes for all of the activities that need to be accomplished.


To Create a Timeline from scratch:


1.  From the "Time & Resources" menu, select "Timelines" and "New Timeline".

2.  Select a Job No., either by entering one or using the for a drop down menu.

3.  The start date will default to today's date.  Change the start date by clicking the drop down calendar and selecting the correct start date.

4.  Click to save the Timeline and allow further setup.

5.  Click and a Task Type list will appear.  For each task that you need to appear on the Timeline, click the box in the left column.  If a task occurs more than once in the timeline, you may add multiple occurrences by entering the number needed in the "No. of Lines" column.

6.  AccountAbility will create a Timeline using the Tasks you select.  Start by arranging the tasks in order with those that needed to be completed first on top.  Move tasks up and down using the and buttons.  Amend the timeline for each task either by entering specific dates via the drop down calendars, or using the system to assign dates by specifying the number of days required.  You can also use the system to calculate forward from the first task start date using or calculate backward from the final task due date using

7.  Click when you have finished entering the Timeline.


To Create a Timeline from a Template:



1.  From the "Time & Resources" menu, select "Timelines" and "New Timeline"

2.  Select a Job No., either by entering one or using the for a drop down menu.

3.  The start date will default to today's date.  Change the start date by clicking the drop down calendar and selecting the correct start date.

4.  Click to save the Timeline and allow further setup.

6.  Select the Timeline Template that you wish to use and click

7. AccountAbility will create a Timeline using the Tasks from the Template you have selected.  Start by arranging the tasks in order with those that needed to be completed first on top.  Move tasks up and down using the and buttons.  Amend the timeline for each task either by entering specific dates via the drop down calendars, or using the system to assign dates by specifying the number of days required.  You can also use the system to calculate forward from the first task start date using or calculate backward from the final task due date using

8.  Enter the estimated number of hours required for each task.

9.  Using the to assign an Employee and/or Team to each task.  You can also assign a Client Contact to each Task.

9.  Click when you have finished entering the Timeline.


To Create a Timeline from an Estimate:


1.  From the "Time & Resources" menu, select "Timelines" and "New Timeline"

2.  Select a Job No., either by entering one or using the for a drop down menu.

3.  The start date will default to today's date.  Change the start date by clicking the drop down calendar and selecting the correct start date.

4.  Click to save the Timeline and allow further setup.

5.  Click

6.  AccountAbility will create a Timeline using the Tasks from the Job Estimate.  Start by arranging the tasks in order with those that needed to be completed first on top.  Move tasks up and down using the and buttons.  Amend the timeline for each task either by entering specific dates via the drop down calendars, or using the system to assign dates by specifying the number of days required.  You can also use the system to calculate forward from the first task start date using or calculate backward from the final task due date using

7.  Enter the estimated number of hours required for each task.

8.  Using the to assign an Employee and/or Team to each task.  You can also assign a Client Contact to each Task.

9.  Click when you have finished entering the Timeline.


Note:



1.  Adding an employee or team to a task will create a calendar entry for those employees or teams to inform them of due dates, and also to assist in time entry for the job.  It will also allow you to create task, WIP, and traffic reports to manage assignments.
